How we handle your information

Whiteline Access ("we", "us") collects the information you provide through our quote, contact, and booking forms — including your name, contact number, email, delivery details, and identification documents such as a driver's licence — solely to process rental enquiries and reservations.

What we collect

Contact details you submit (name, phone, email), booking details (dates, pick-up/drop-off location), and identification documents required to verify a hire (driver's licence, work ID, or business documents where applicable).

How we use it

To confirm vehicle availability, process bookings, verify eligibility to hire, and contact you about your reservation via phone, WhatsApp, or email. We do not sell or share your information with third parties outside of what's needed to fulfil your booking.

Data retention

We retain booking and identification records for as long as needed to fulfil legal, insurance, and accounting requirements, after which they are securely deleted.

TERMS & CONDITIONS

Rental terms & conditions

Hire period

Five days minimum hire, strictly. Vehicles must be returned as per the conditions confirmed at the time of booking.

Coverage area

City limits only unless a route outside the National Capital District is agreed with us in advance.

Payment

Full payment is required upfront to confirm a booking. No bond or deposit is charged on top of the daily rate.

Availability

Listed vehicles and rates are not committed to a hire until our team confirms availability for your requested dates. Submitting a booking request does not guarantee a reservation.

Direct hire

Vehicles cannot be collected directly from the yard without a confirmed booking through Whiteline Access.

Identification

A valid driver's licence (front and back) is required for every booking. Additional identification (work ID or business documents) may be requested depending on the hire.

Vehicle condition

All vehicles are serviced and inspected before hire. Any damage during the rental period is the responsibility of the hirer, as assessed by Whiteline Access.

Cross-hire

Vehicles are hired to the named customer only. Re-hiring, sub-letting, or cross-hiring a Whiteline Access vehicle to a third party is strictly prohibited.

Vehicle ownership & third-party claims

All vehicles remain the sole property of Whiteline Access. Hiring one gives no ownership or financial claim over it, and any third-party claim against the vehicle has no legal basis. We're not responsible for disputes between the hirer and a third party — the hirer must notify us immediately and cover any resulting cost, delay, or damage.
